The dark blue header card stays visible on every tab. It gives you the essential facts about the work order at a glance — you never have to leave the current tab to check the basics.

Header fields reference

Field What it shows
Work order nameThe name given at creation. Displayed large at the top of the header.
WO ReferenceAuto-generated unique identifier in the format WO-YYYY-NNNN. Used when searching or referencing the order in reports.
Status badgeCurrent lifecycle status — Not Started, In Progress, Completed or Cancelled. Updates automatically as the job progresses.
TypeThe work order type selected at creation (Order, Training, Assembly, etc.).
WarehouseThe warehouse this order draws stock from.
Assigned ToThe group or individual this order is assigned to.
Start / EndScheduled start and end date and time. These place the order on the Works Order Calendar.
Sales OrderOnly shown when linked to a sales order. Shows the sales order name, despatch status badge and expected despatch date. Click the eye icon to preview the sales order.
PickingOnly shown when a picking list was generated. Shows the picking UUID as a link — click to open the picking list directly.
Progress barShows how many work instruction steps have been completed (e.g. 0/1 steps complete = 0%). Updates in real time as operators tick off steps in the Operations tab.

Below the header card, six tabs let you navigate between different views of the work order. The active tab is underlined in blue.

Section 02

Overview tab

The Overview tab shows the work order's notes and the full list of products and materials it covers.

Notes

The notes field displays any free-text instructions entered when the work order was created or last edited. Operators can read this to understand any special requirements for the job before starting.

Products / Materials table

Column What it shows
S-NoRow number.
Item NameProduct name. Click to open the product detail page.
DescriptionProduct description.
TypeItem or Assembly badge. Assemblies are built from components via a Bill of Materials.
Required QuantityHow many units this job needs — set at work order creation.
Created QuantityHow many have actually been produced so far. Starts at 0, increases as the job progresses. Compare against Required Quantity to gauge completion.
UnitUnit of measure. Editable inline via a dropdown.
Tracked StockWhether this item uses lot or serial number tracking. Shows Untracked (grey) or Tracked (blue).
QCShows a QC badge if this product has an active inspection plan — a quality inspection will be required at completion. No badge means no QC plan is configured.
ActionsView — opens the product record for this item. Useful for checking stock levels or BOM details without leaving the work order.

Section 03

Operations tab

The Operations tab is where production work actually gets tracked. It shows the work instruction steps linked to this order, lets operators clock in and out of each step, record scrap and log actual hours.

Progress summary

At the top of the Operations tab you'll see two numbers:

  • N/N complete — how many steps have been marked completed out of the total. Also reflected in the progress bar on the header card.
  • Est: X hrs — the total estimated hours across all steps, pulled from the work instruction configuration.
Sync Operations

The Sync Operations button (top right of the Operations tab) pulls the latest step definitions from the linked work instruction. Use this if a work instruction was updated after the work order was created — it refreshes the steps without losing any recorded data.

Steps table columns

Column What it shows
#Step number in the sequence.
Step NameThe name of this operation step — e.g. CNC, Welding, Assembly. Comes from the linked work instruction.
Work CentreThe machine or station where this step takes place — e.g. Mill 1, Press 2. Used for capacity planning and reporting.
Est. HrsEstimated hours for this step, set in the work instruction.
Actual HrsTime recorded by the operator. Populated automatically when they use the Clock In/Out buttons, or entered manually.
CompletedQuantity completed in this step. Entered by the operator on finishing.
ScrapQuantity scrapped or rejected during this step. Used in job costing to calculate waste.
StatusEditable dropdown: Not Started, In Progress or Completed. Updating this status drives the header progress bar.
Performed ByThe operator who completed this step. Auto-populated when an operator clocks in.
StartedDate and time the step was started (clock-in time).
Completed (date)Date and time the step was completed (clock-out time).
ClockTwo buttons: In (green) records the clock-in time and marks the operator as working. Out (red) records clock-out and calculates actual hours elapsed.
ActionShows the current status label. Clicking it may open additional step options depending on your configuration.
Steps come from Work Instructions

If the Operations tab shows "No steps", no work instruction has been linked to this order or the linked work instruction has no steps defined. Go to Work Instructions to configure steps for your products, then use Sync Operations to pull them in.

Section 04

Picking tab

The Picking tab shows the pick list associated with this work order — the items that need to be pulled from the warehouse before production can start.

Column What it shows
S-NoRow number.
Item NameThe product that needs to be picked from the warehouse.
DescriptionProduct description for identification in the warehouse.
Required QuantityHow many units need to be picked for this work order.
Picked QuantityHow many have already been picked. Starts at 0, updated by warehouse staff as they fulfil the pick. When this matches Required Quantity, the line is complete.
Item UnitUnit of measure — selectable via dropdown (each, kg, m, etc.).
ActionView — opens the pick detail record for that line item, showing bin location, lot numbers and pick confirmation.
No picking list?

If the Picking tab is empty, no picking list was generated for this order. You can create one manually from the Warehouse module, or edit the work order and enable auto-picking.

Section 05

Cost tab

The Cost tab shows real-time job costing — how much this work order is estimated to cost versus what it has actually cost so far, and the profitability margin if it's linked to a sales order.

Cost Breakdown

Column What it shows
Cost CategoryMaterial — cost of items consumed, based on unit cost. Labour — cost of time spent on each step (actual hours × operator hourly rate). Total — sum of both.
EstimatedThe projected cost calculated at creation, based on BOM quantities and work instruction step times.
ActualThe real cost accumulated so far. Populated as operators clock time and items are consumed.
VarianceDifference between Estimated and Actual. Negative (green) = under budget. Positive (red) = over budget.

A summary line below the table tells you at a glance whether the job is under or over budget — e.g. "Under budget by 0.37 — actual costs are tracking below estimates."

Margin

The Margin section only appears when this work order is linked to a sales order. It shows the profitability of the job based on the sales order value.

Card What it shows
Sale ValueThe total value of the linked sales order — the revenue this job generates.
Est. MarginSale Value minus Estimated costs. Shows the projected profit if the job runs exactly to estimate.
Actual MarginSale Value minus Actual costs so far. Updates in real time as the job progresses.
Margin %Actual Margin ÷ Sale Value as a percentage. Colour-coded: green = healthy, amber = warning, red = loss-making.

Section 06

Quality tab

The Quality tab shows all quality requirements for this work order — active inspection plans, criteria to record at completion, inspection results and any non-conformance reports (NCRs).

Quality Inspections

Lists the inspection plans attached to each product on the work order. Each plan shows its criteria table — the measurements or checks an operator must record when the job is completed.

Column What it shows
#Criterion number within the inspection plan.
CriterionThe name of the check — e.g. "Surface inspection". Marked MUST PASS (red) if failing this criterion fails the entire inspection.
TypeHow the criterion is measured: Measurement (a numeric value), Pass/Fail (yes/no) or Visual (inspector's judgement).
Spec / RequirementThe acceptable range or specification — e.g. 20.000000 … 55.000000 cg. Values outside this range trigger a failure.
SamplingWhat percentage or quantity of units to inspect — e.g. 100% means every unit must be checked.
Pass / FailAuto-populated once a value is recorded — shows Pass (green) or Fail (red) based on whether the value is within spec.
Recorded ValueThe measurement or check result entered by the inspector. Tab between cells for fast entry.
NotesOptional free-text notes for this criterion — e.g. to explain a borderline result.

Once all criteria are filled in, click Record Criteria to save the inspection result. This creates a record in the Recorded Inspections section below.

Recorded Inspections

Shows the history of completed inspections for this work order. Empty until the first inspection is completed. Each entry shows the inspector, date, pass/fail outcome and any notes.

Non-Conformance Reports (NCRs)

Lists any NCRs raised against this work order during QC inspections. An NCR is created automatically when a MUST PASS criterion fails, or can be raised manually. Each NCR shows the severity, affected quantities and resolution status.

No inspections showing?

If the Quality tab shows empty sections, the products on this work order don't have active inspection plans configured. Set up inspection plans in the Quality module to start recording QC data against your work orders.

Section 07

Action buttons

The action button bar is fixed at the bottom of the page on every tab. It gives you quick access to the four main actions for a work order.

Button What it does Who can use it
Delete Permanently deletes the work order. Any reserved stock is released and any generated picking lists are also removed. This cannot be undone. Admins and Managers only.
Report Issue Opens the issue reporting form — lets any team member log a problem with this work order without leaving the page. The issue is linked to this order and appears in the Issues log. All roles.
Edit Opens the edit form pre-filled with the current work order data. You can change the name, timeline, assigned group, warehouse, items or picking settings. See Edit a work order for the full field reference. Admins and Managers only.
Start Changes the status from Not Started to In Progress and records the start time. Once started, the Start button is replaced by a Complete button. All team members assigned to the order are notified. All roles.
Go Back vs Delete

← Go Back simply navigates back to the Works Order list — it does not save or change anything. Delete permanently removes the record. They are very different actions despite appearing in the same bar.

What to do next
