Invite your team — seats, groups and permissions
Add team members to Brytebuild, choose their seat type, build permission groups and control exactly what each person can see and do — all from Staff & Groups.
Section 01
How access control works

Brytebuild uses a simple two-layer system. Understanding it upfront will save you time when setting up your team.

The union of all group permissions determines what the person can see and do in Brytebuild.
Effective permissionsA person with no groups assigned has no access to any module, regardless of their job title. All access is controlled by Groups. The role/job title field is purely for your own reference — it has no effect on what someone can see or do.
The invitation flow at a glance
Here's the full sequence for adding a new person to your workspace:
Send invitation
Enter their email and a job title (for display). They receive an invitation link by email.
Choose a seat type
Assign them a Full seat or Shop-Floor seat — this affects billing. See Section 02.
Add them to groups
Add the person to one or more permission groups (Production Team, Quality, Warehouse, etc.). This is what gives them access to modules.
Set group permissions
Each group has ADD / CHANGE / DELETE / VIEW toggles per module. Set these once per group — every member of the group inherits them automatically.

Seat types & billing

Every team member occupies a seat, which determines billing. There are two seat types — choose based on what the person actually needs to do.
Full platform access
Billed at your plan's full per-user rate
Execute-only access
Lower per-user cost — ideal for operators
Seat types can be changed at any time in Settings → Billing & Plan. If your operators only need to follow instructions and log progress, Shop-Floor seats are a cost-effective choice without limiting their day-to-day work on the shop floor.

Add a team member

Fill in the invitation form
A modal dialog appears with two fields:

Click Send Invitation. They receive an email and set their password when they accept.
They accept and appear on the Staff List
Once accepted, they appear on the Staff List tab. At this point they have no module access — add them to groups (Section 04) before they can do anything in the app.
Add them to groups immediately
Go to the Groups tab, open the relevant group and add the new person. That's what actually gives them access. A person without groups can log in but cannot see any data.

Notice the Job Title column (Admin, Manager, Developer) — these are just labels. The Groups column is what determines real access.
Section 04
Create permission groups

Groups are the core of access control in Brytebuild. Each group has its own set of module permission toggles. A person can belong to multiple groups — their access is the combined total of everything those groups allow.
Create one group per department or function. That way adding a new joiner to a department is one click, not a full permission reconfiguration.
Example group structure
Production Team
Create and manage works orders, schedule jobs, log job progress and view work instructions.
Quality Team
Manage inspections, NCRs, CAPA and calibration records. Approve sign-offs.
Warehouse Operators
Pick, pack and deliver orders. Scan barcodes, update stock and manage delivery orders.
Sales Team
Create quotes, sales orders and invoices. Manage customers, credit notes and payments.
How to create a group
Name the group and save
Enter a Group name (e.g. "Warehouse Operators") and an optional description. Click Create Group.
Open the group and add members
Click Edit on the group. On the Staff List tab, click + Add Member to assign people. Removing a member revokes their group permissions immediately.
When you remove someone from a group, they lose those permissions on their next page load — no confirmation step required.
Section 05
Set module permissions

Inside each Group, click the Permissions tab. You'll see every module in Brytebuild listed with five toggles per row. This is where all real access is defined.
What each toggle does

Click Save Permissions at the bottom right. Changes take effect immediately for everyone in the group — no logout required.

Managing your team over time

Common admin tasks
Move someone to a different department
Open the group they're leaving → Staff List tab → Remove. Then open the new group → Staff List tab → + Add Member. Both changes are instant.
Give someone access to an additional module
Either add them to an existing group that has that module, or open their current group's Permissions tab and enable the relevant toggle. The second option affects every member of that group — use it only when everyone in the group needs the same change.
Suspend or remove a team member
On the Staff List, open the person's profile and choose Deactivate to suspend them (keeps history, frees a seat) or Delete User to remove permanently.
If in doubt, deactivate. Deleted users cannot be recovered and their personal data is removed. Deactivated users free up a seat but their activity history stays in the system.
Update permissions for a whole department
Open the group → Permissions tab → adjust toggles → Save Permissions. Everyone in the group gets the new permissions immediately. This is the main advantage of the groups system — one change covers your whole team.
Everyone is invited, assigned to groups and their permissions are configured. They can log in and start working immediately. Groups and permissions can be changed any time — you're never locked in.
