The Create Work Order form has up to 8 steps. The steps shown depend on the work order type you choose in Step 2 — standard types show all 8 steps, while Stock Take types show a simplified 5-step form.

General Information

Name, Notes, Group and Type (required). The type you choose controls which steps appear below.

Link this job to an existing Sales Order, or create it as a standalone Non Order job.

Timeline

Set the Start Date, Start Time, End Date and End Time. This places the job on the Works Order Calendar.

Warehouse

Select which warehouse this work order draws stock from.

Step 6 — Standard types only

Stock

Toggle Reserve stock for this order on to hold the required quantities in the selected warehouse, preventing them from being allocated to other orders.

Select the products and assemblies this job covers. Set quantities, enable Pick BOM for assemblies and choose items from your inventory.

Work order types

The Type field (Step 2, required) categorises what this work order is for. There are 13 types — 11 standard types and 2 special Stock Take types with different behaviour.

Order

Production job linked to a customer sales order. Use when manufacturing or fulfilling against a specific customer order.

Standard

Non-Order

Standalone production job with no sales order link. Use for internal builds, stock replenishment and make-to-stock runs.

Work order for rental jobs — equipment being prepared, serviced or returned as part of a rental arrangement.

Section 03

Stock Take types — important behaviour

The two Stock Take types — Complete Stock Take and Real-Time Stock Take — have special behaviour that affects the entire warehouse. Read this section carefully before creating one.

Stock Takes lock your warehouse

Creating a Stock Take immediately restricts warehouse operations until it is completed

Picking, packing and delivery order processing are disabled for the selected warehouse while a Stock Take is active or in progress
Only one active or in-progress Stock Take is allowed per warehouse at a time — you cannot create a second one until the first is completed
Barcode scanning for stock movements is also suspended until the Stock Take is completed
Normal warehouse operations resume immediately once the Stock Take is marked as completed

Plan ahead

Schedule Stock Takes for overnight or weekend periods whenever possible. Notify your warehouse team before creating one — operations halt as soon as the work order is saved, not just when someone starts working on it.

The form — step by step

Step 1 — Assign To

Choose who this work order belongs to. This controls who can see and action it in the Works Order Calendar.

Group

Assign to a permission group (e.g. "Production Team"). Every member of the group can see, start and complete the order. Best for team jobs.

User

Assign to a specific person. Only that individual sees it in their personal view. Best for personal tasks or when accountability to one person matters.

Prefer Group for production jobs

Assigning to a Group means the order stays visible even if a team member leaves or is absent. Assigning to a User risks the order going unseen if that person is unavailable.

Step 2 — General Information

Field Required? Notes
Name Required A clear, searchable name — e.g. "Week 30 Brake Disc Run". Appears on the calendar and in the orders list.
Notes Optional Free-text instructions or context for the team. Visible on the work order detail page.
Group Required The permission group this order belongs to — controls access. Separate from the Assign To step, which controls the calendar display.
Type Required The work order type (see Section 02). Controls which steps appear below. Changing the type adjusts the form immediately.

Step 3 — Order or Non Order (standard types only)

Order

Links to an existing sales order. A searchable table of open sales orders appears — select the one this job fulfils. The Item List will pre-filter to show only items on that sales order.

Non Order

A standalone job with no sales order link. Optionally select a customer for reference. Use for internal production runs, stock builds and training.

For your first work order

Choose Non Order. It's simpler — you don't need a sales order set up yet. You can link work orders to sales orders once your sales pipeline is running.

Step 4 — Timeline

Set when this job runs. The dates and times place the work order on the Works Order Calendar exactly.

Field Format Notes
Start Date DD/MM/YYYY The day the job begins. Required for the work order to appear on the calendar.
Start Time HH:MM am/pm The time the job starts. Used to position the event on the Week and Day calendar views.
End Date DD/MM/YYYY The day the job ends. Can be the same as Start Date for same-day jobs.
End Time HH:MM am/pm The time the job ends.

Step 5 — Warehouse

Select which warehouse this work order draws stock from. The warehouse you choose affects stock reservation (Step 6), the items shown in the Item List (Step 7) and — for Stock Take types — which warehouse is locked.

Step 6 — Stock (standard types only)

Reserve stock for this order — stock will be held as soon as the work order is created
  • Reserve ON — Brytebuild immediately earmarks the quantities required for this job. Other work orders cannot claim that stock until this one is completed or cancelled.
  • Reserve OFF — no stock is held. The Item List quantities are recorded but stock is only checked when the job is actually executed.
Reserve vs Deduct

Reserving stock holds it — it's still shown in your stock count but flagged as allocated. Stock is only deducted from your inventory when the work order is marked as Completed. Cancelling a reserved order releases the stock back to available immediately.

Step 7 — Item List

The Item List is where you specify exactly what this job produces or works on. The screen has two tables — the catalogue at the top for browsing and selecting, and the selected items at the bottom for review.

All Items vs Sales Items

All Items

Shows your full inventory. Use for Non Order jobs or when you need to select items that are not on the linked sales order.

Sales Items

Filters to show only items on the linked sales order. Only available when you selected Order in Step 3.

Item catalogue columns

Column What it shows
S.No Row number in the catalogue.
Item ID Your internal product ID. Click to open the product detail page.
Item Name The product name.
Description Product description if set.
Type Item (standalone part) or Assembly (built from components). Assemblies have the Pick BOM toggle available.
Pick BOM For Assemblies only. Toggle ON to automatically pull all BOM component quantities into the stock reservation and picking list. Leave OFF if you only want to track the finished assembly.
Status ACTIVE or INACTIVE. Only Active items can be selected.
Total Stock Current quantity in the selected warehouse. Red if at or below minimum.
Minimum Stock Level Your configured reorder threshold. Numbers shown in red when Total Stock is at or below this level.
Quantity How many units of this item this job requires. Enter the quantity before ticking Select.
Unit Unit of measure (ea, kg, m, etc.).
Select Tick to add this item to the Selected Items table below.
Red numbers = low or out of stock

When Total Stock or Minimum Stock Level numbers appear in red, the item is at or below its reorder threshold. Check your purchasing pipeline before creating the work order — you may not have enough stock to complete the job.

Section 06 — Standard types only

Step 8 — Picking

The Picking step lets you automatically generate a picking list for this work order at the point of creation. A picking list tells your warehouse team exactly which items to pull from the shelves and in what quantities.

Field Notes
Automatically create picking list Toggle ON to generate a picking list immediately when you click Save Work Order. Toggle OFF to create the picking list manually later from the work order detail page.
Picking Date The date the warehouse team should complete the pick. Defaults to the work order start date if left blank.
Picking Time Optional target time for the pick to be completed by.
When to use auto-picking

Turn on auto-picking when your warehouse team uses Brytebuild's picking workflow. Leave it off for jobs where the team picks stock informally, or when the items have already been pulled before the work order is created.

Save the work order

Click Save Work Order → at the bottom right. The work order is created, appears on the Works Order Calendar, and — if you enabled it — a picking list is generated immediately.

Work order created

The work order is now live. Your team can see it on the Schedule, start working on it and log progress. Click ← Go Back at any time to cancel creation without saving.
