Schedule — production calendar overview
Every production job, quality check, purchase order and delivery appears on a shared calendar. Switch between Month, Week and Day views and filter by group, user, status or product.
Section 01
Overview

The calendar shows four types of operational events in colour-coded bands, with a scrollable list of all orders directly below it. You can switch between Month, Week and Day views depending on how much detail you need, and filter by group, user, status or product.
The page has two parts that always appear together:
- Calendar (top) — a visual grid showing all events positioned on their actual dates. Click any event to open its detail page.
- Orders list (bottom) — a sortable, searchable table of all orders in the same date range, with status, assigned person and a Start action button.
Section 02
Event types & colours

Four order types appear on the calendar, each with its own colour. You can show or hide any type using the filter pills at the top of the page.
Production jobs — manufacturing, assembly, training, stock takes and any other shop-floor work you schedule for your team.
Ad-hoc quality checks automatically generated when a Works Order triggers an inspection plan — e.g. "QC (ad-hoc): wo test 1".
Scheduled supplier deliveries. Appear on the calendar based on their expected delivery date so you can plan around incoming stock.
Outbound deliveries to customers. Created from sales orders to schedule despatch and track what's going out and when.
Reading event labels
Each event on the calendar shows a short label with the type prefix and the order name:
When a day has more events than fit in the cell, a +N more link appears. Click it to expand and see all events for that day, or switch to the Day view for a full list.
Section 03
Filters & controls

The calendar has four filter controls across the top. They all work together — changing one narrows the calendar and the list below simultaneously.
User / Group filter
| Option | What it shows |

| User | Shows only orders assigned directly to you (as a Staff member). Good for individual operators checking their own workload. |
| Group | Shows orders assigned to the selected Group. Use the Select Group dropdown to choose which group's calendar to view. Managers use this to see what's on for their team. |
Event type pills
Click any pill to toggle that event type on or off. All four are on by default. For example, clicking Works Order hides all WO events and leaves only QC, PO and DO — useful if you only want to see incoming deliveries.
Status filter
The All statuses dropdown lets you filter by work order status — show only In Progress orders, only Completed, or a specific combination. See Section 06 for status definitions.
Trace product
The Trace product dropdown lets you search for a specific product and see every order on the calendar that involves it. Useful when a component has a quality issue and you need to find all jobs that used it.
Sales order view
The Sales order view dropdown filters the calendar to show only orders linked to a specific sales order — giving you a timeline view of all the work required to fulfil that customer order.
Section 04
Month, Week and Day views

Use the view toggle at the top right to switch between three calendar views. The Today button and arrow navigation work the same in all three views.
Month view
Month view gives the highest-level overview — ideal for production managers planning capacity across the month. Each day cell shows as many event bars as it can fit, then collapses the rest under a +N more link.
- Click any event bar to open its detail page
- Click +N more on a day cell to expand and see all events for that day
- Click a day number to jump directly to Day view for that date
- Use ‹ › arrows to navigate months
Week view
Week view adds a time dimension — events with specific start and end times are placed on the 24-hour grid at their exact position. Multi-day events appear as full-width bars in the all-day row at the top of the week.
- All-day row — orders spanning the full day or multiple days, shown as colour-coded bars across all their active days
- Time grid — orders with specific start/end times at their exact position; scroll down to see later events
- Use ‹ › arrows to navigate weeks
Week view is the most useful for day-to-day production management — you can see exactly which jobs overlap on the same day and at what times, making it easier to spot capacity clashes before they happen.
Day view
Day view shows a single day in full detail. The date number and day name are displayed large at the top with an event count. The view splits into two areas:
- Multi-day events — orders that started before today or end after today, shown as full-width bars with their current status badge
- Time grid — events with precise start and end times placed on the 24-hour vertical axis
Day view is most useful when you need to drill into exactly what's happening on a specific day — for example, when a production manager does a morning stand-up to brief the team on today's jobs.
Section 05
Orders list below the calendar

Directly below the calendar is a full table of all orders in the current view. It stays in sync with the calendar — the same filters and date range apply. Sort by any column header, search by name, filter by product, print or download as Excel.
Column reference

| Name | The work order name. QC orders are prefixed with QC and highlighted purple. Click any name to open the full order detail page. |
| Assigned To | The person or group this order is assigned to. A STAFF badge means an individual; a GROUP badge means a permission group. |
| Customer | The customer linked to the order, if any. Blank (—) for internal jobs with no sales order link. |
| Type | The work order type: Order, Training, Complete, Non Order or Qc. Set when creating the work order. |
| Status | Current work order status. See Section 06 for all statuses and what they mean. |
| Start / End | The scheduled start and end dates (and times if set). Format: YYYY-MM-DD HH:MM. |
| Action | The Start button opens the work order and begins execution. Only available for orders that haven't been completed or cancelled. |
List tools

Section 06
Work order statuses
Reference
Every work order has a status that tracks where it is in its lifecycle. Statuses update automatically as team members act on the order.

| NOT STARTED | Created and scheduled but no team member has started working on it yet. | Automatically set when the work order is created. |
| IN PROGRESS | At least one step in the work order has been started by a team member. | A team member clicks Start on the order or on any step within it. |
| COMPLETED | All steps are finished. Stock is deducted from inventory for any BOM items. The order is closed. | All steps are marked complete and the order is confirmed finished. |
| CANCELLED | The order was voided. No stock changes occur. Removed from the active schedule but remains in history. | An admin or manager cancels the order from the order detail page. |
Reserving stock when creating a work order holds it for that job, but stock is only actually removed from inventory when the order status changes to Completed. Cancelling an order releases any reserved stock back to available.
Creating a work order from the calendar
Click the + Create Work Order button at the top right of the calendar page to open the new work order form. The calendar date you were viewing is pre-selected as the start date.
