The Expiry register tracks date-controlled stock using FEFO — view expiry status across all lots, identify expired and near-expiry items, and quarantine stock in one click.

What is Expiry / FEFO?

The Expiry register surfaces every lot with an expiry date, ordered soonest first, and flags anything needing immediate action. Stock is allocated FEFO (First Expired, First Out) automatically during production and fulfilment.

  • Near-expiry (amber) — within 30 days. Expired (red) — past date, Quarantine action available.
  • Covers all warehouses and all lot-tracked products that carry an expiry date.
  • Filter by status, refresh for latest positions, or export to Excel — all covered in Section 03.
Only lot-tracked products appear here

The Expiry register only shows stock for products that have lot tracking enabled and carry an expiry date on the lot record. Products without lot tracking or without expiry dates are not shown, even if they are in stock.

Section 02

How FEFO works

First Expired, First Out means that whenever stock is consumed — on a works order, sales order, or pick list — Brytebuild allocates from the lot with the earliest expiry date first. This happens automatically; no manual action is needed to enforce FEFO on consumption.

  • If a product has three lots in stock — expiring 2026-07-27, 2026-08-15 and 2026-10-12 — FEFO allocates from LOT-2026-00023 (2026-07-27) first, then LOT-2026-00031, then LOT-2026-00038
  • FEFO applies to works order consumption, sales order fulfilment and pick list allocation
  • The Expiry register does not need to be open for FEFO to operate — it is always active in the background
  • Lots are ordered soonest-first in the register so the highest-risk stock is always at the top
Expiry dates are set on lot records

Expiry dates are entered at the point of goods receipt or when the lot is created on a purchase order line. To update an expiry date, edit the lot record on the relevant product's Lot Numbers tab.

Reading the Expiry register

Navigate to Warehouse → Expiry / FEFO to open the Expiry register. The register lists every lot in stock with an expiry date, sorted soonest first. A summary alert banner at the top counts any expired rows and prompts action.

Expired stock must be actioned

Expired lots should not be used in production or shipped to customers. Use the Quarantine action immediately to hold the stock and record a disposition decision in the Quarantine register. If the stock is to be scrapped, complete the disposition from within the Quarantine module.

The expired alert banner

When one or more lots are expired, a red alert banner appears at the top of the register:

The banner shows the count of expired rows. It updates after each Refresh. Once all expired lots have been quarantined or scrapped, the banner disappears.

Section 05

Quarantining expired stock

Click the Quarantine button on any expired row to open a confirmation modal. Confirming moves the stock to the Quarantine register where a disposition decision (use, rework, scrap) is recorded.

Confirmation modalShows the quantity, product (M8 Hex Bolts — Grade 8.8), expiry date (2026-07-27) and a plain-English description of what will happen. Cancel returns without any change.
Stock moves to QuarantineThe lot moves from available stock to the Quarantine register. It is no longer available for picking, production or sales fulfilment.
Disposition decisionOpen Quality → Quarantine to action the record — approve for use, send for rework, or scrap. Each decision is logged against the lot.
Register updatesThe row is removed from the Expiry register. The expired count in the alert banner decreases by one. If zero expired lots remain, the banner disappears.
Only expired rows have a Quarantine button

Near-expiry lots do not show a Quarantine button — they should be consumed through normal fulfilment under FEFO. The Quarantine action is reserved for lots that have passed their expiry date.
