Receivables — aging report for outstanding balances

The Receivables Aging Report shows outstanding invoice balances bucketed by how far past due they are — Current, 1–30, 31–60, 61–90 and 90+ days.

What is the Receivables report?

The Receivables page lives under Commerce › Sales › Receivables. It is an Aging Report — a financial snapshot showing exactly how much money customers owe you, bucketed by how long each balance has been outstanding. It answers the question: "Who owes us money, and how overdue are they?"

  • Total outstanding as of today: GBP 14.24 across 2 customers
  • GBP 12.24 is Current (not yet due) — customer 1
  • GBP 2.00 is 1–30 days overdue — customer 2 (needs attention)
  • The As of Date field lets you run the report for any historical date — leave it blank for today's figures
  • Balances are net of all payments and credit notes already applied
Run this report daily to chase overdue payments

Any amount in the 1–30 d column should trigger a payment reminder. The 61–90 d and 90+ d columns indicate seriously overdue debts that may need escalation. Filter by customer or print the report as a PDF to support credit-control conversations.

Aging buckets explained

The report divides outstanding balances into six buckets. Each bucket shows how far past the invoice due date the unpaid balance sits.

Total Outstanding

GBP 14.24

The sum of all outstanding invoice balances across every bucket. This is your total accounts receivable position — GBP 14.24 across 2 customers. It updates in real time as invoices are issued and payments are recorded.

→ Monitor daily for overall exposure.

Current

GBP 12.24

Invoices that are not yet past their due date. The customer still has time to pay — no chasing required yet. GBP 12.24 sits here from customer 1. This is the healthiest bucket.

→ No action needed — balance is within terms.

1–30 Days

GBP 2.00

Invoices 1 to 30 days past their due date. GBP 2.00 from customer 5 sits here — a payment reminder should be sent promptly. Most customers pay within this window when contacted.

→ Send a payment reminder immediately.

31–60 Days

GBP 0.00

Invoices 31 to 60 days overdue. GBP 0.00 here today — no balances at this age. When populated, these require a follow-up call or formal reminder letter alongside the email.

61–90 Days

GBP 0.00

Invoices 61 to 90 days overdue. Serious — any balance here should be escalated to management and may warrant pausing further credit for the customer.

90+ Days

GBP 0.00

Invoices more than 90 days overdue — seriously overdue, chase immediately. Balances here may require a collections agency or legal action depending on your credit policy.

Reading the report

Understanding each element of the Aging Report page:

Element What it shows
As of DateRun the report for any date. Leave blank to see today's balances. Enter a past date to see the aging position on that day — useful for month-end reporting or investigating a historical dispute.
Outstanding badge (GBP 14.24)Top-right total — the sum of all outstanding invoice balances at the selected date. Matches the Total Outstanding summary card.
Warning bannerAppears when any balance exists in the 1–30, 31–60, 61–90 or 90+ buckets. Prompts immediate review. Not shown when all balances are Current.
Total Outstanding cardThe grand total: GBP 14.24. Shows the number of customers with outstanding balances — 2 customers here.
Current card (GBP 12.24)Invoices not yet due. Green colour indicates healthy — money is expected but not yet late. GBP 12.24 from customer 1.
1–30 D card (GBP 2.00)Amber — invoices 1 to 30 days past due. GBP 2.00 from customer 5. Requires a payment reminder.
31–60 D / 61–90 D / 90+ D cardsAll GBP 0.00 — no balances in these buckets today. When populated they turn red (31–90 d) or purple (90+) to signal urgency.

By Customer tableEach row is a customer with an outstanding balance — customer 1 (GBP 12.24 Current) and customer 5 (GBP 2.00 in 1–30 d bucket). Columns match the summary cards. The TOTALS row sums every customer.
Customer avatarInitials circle — "O" for customer 1, "C" for customer 5. Click the customer name to navigate to their customer record.
Totals rowColumn totals in their respective bucket colours — Current 12.24 (green), 1–30 d 2.00 (amber), all others grey. Grand total 14.24 in blue.
Balances are live — they change as invoices and payments are added

The report reflects the current state of all issued invoices minus all recorded payments and credit notes. Adding a new invoice or recording a payment immediately changes the totals. Use the As of Date field to freeze the view for a specific reporting period.
