What are Sales Orders?

Sales Orders live under Commerce › Sales › Sales Orders. Each order can be raised from a Customer (standard) or a Supplier (purchase-linked). Once created, a sales order drives the full fulfilment chain — works order scheduling, warehouse picking, delivery despatch, and invoice generation.

  • Statuses: Pending, In Process, Completed, Cancelled
  • Each order links to Works Orders (production), Delivery Orders (despatch) and Invoices
  • A Share Tracker link can be sent to customers for no-login live progress tracking
  • Edit and Add use the same multi-step form — all fields except the SO reference are editable

Edit uses the same form

Clicking Edit Sales Order from the detail page opens the same multi-step form, pre-populated with existing values. All fields except the SO reference (system-generated and locked) can be updated.

How each line is priced

Every line's unit price is worked out for this customer, and a small chip under the price says which rule won. In order: a price you typed stays (chip: Manual) · the order's price list, else the customer's default list — a rule for that product beats a list-wide rule, and the highest quantity break the line reaches wins (chip: Trade 2026 (qty ≥ 10), Trade 2026 −10%) · the customer's discount % (chip: Customer −5%) · the catalogue price (chip: Catalogue). Change the quantity and the price re-resolves, so a line that crosses a quantity break moves to the break price on its own.

Typed a price and want the list price back? Click use list price beside the Manual chip. On an order in another currency a fixed list price in that currency is used as-is; a fixed price in a different currency converts at the day's rate and the chip says · FX — hover it for the original figure and rate. Percentage rules scale the converted catalogue price. If no exchange rate exists for that day the line shows No price rather than guessing; add the rate under Settings and the price appears.

Pricing is never retroactive: lines already saved keep their price when a list changes, and lines saved before pricing existed open in Edit as Existing price — untouched until you choose use list price. The reason for every price is stored with the line and shown on the order detail, so "why did this cost that?" always has an answer. Set lists up under Sales → Price lists.

Drop-ship — the supplier delivers straight to the customer

Some lines never come through your door: a mill delivers the steel straight to site, a distributor ships the accessory from their warehouse. Tick Drop-ship on that line. The detail page then shows a Drop-ship panel with, per line, the quantity ordered, how much is on a supplier PO and how much the supplier has delivered to the customer. Raise drop-ship PO creates one purchase order per preferred supplier for the uncovered lines, addressed to the customer's delivery place (its PDF says DELIVER TO with the address and instructions), linked to this order; pressing it again skips lines already covered and names a product with no supplier rather than ordering from nobody.

When the supplier confirms delivery, receive the drop-ship PO as usual: the goods-in row says Delivered to customer, the quantity is recorded and nothing enters stock. That receipt is what marks the line despatched — the order's progress, the customer tracker and the order-basis invoice all follow, and no delivery order is needed. MRP ignores drop-ship lines; the promise date treats them as a supplier lead time.

Called off from a blanket order

An order raised by Raise order on a blanket order shows Called off from BLK-2026-0001 in its details and prices every line at the agreed price (chip: Blanket). Change its quantities and the blanket's released / remaining figures follow; cancel it and the quantity goes back. See Blanket orders.

Can we promise this date? — checked as you type

As soon as the order has lines, Brytebuild works out the earliest date the whole order could be despatched and shows it under the Despatch Date, green when your requested date holds and red when it does not. Each line gets a Can promise chip with its own date and status: In stock (available now, after allocations and other orders' reservations), On order (covered by a purchase order or works order already open — its arrival or due date is used), Make (we would have to build it — the date comes from the components' availability and the first free slot on the shop floor, because the check queues the job behind every works order already scheduled) or Buy (the preferred supplier's lead time). Hover a chip to see exactly what set the date — "waiting on Gasket, EPDM 3mm — Harbour Composites lead time 30 days" — which is what to ring the supplier about, or the reason to offer an alternate component or a split delivery.

Can't date means a fact is missing, not that the answer is no: usually a component with no supplier linked, or a supplier with no lead time recorded. The chip names the part; record the lead time on the supplier link and re-check. Supplier lead times count calendar days; production time follows each work centre's working hours and your holiday calendar.

The check is advisory — it reserves nothing and raises nothing. To commit, save the order and run MRP as usual. Use Re-check after receiving stock or running MRP to see the date move.

Despatch or delivery? A customer asks when it arrives. Record a transit time on the shipper (Warehouse → Shippers, in calendar days, door to door) and the line reads “earliest despatch 14 Sep · delivery 16 Sep (2 days in transit)”, with the requested date judged against delivery. No shipper, or no transit time on it, and the check speaks of despatch only.

Sales Order detail — General tab

Click View Details on any order to open the detail page. The General tab shows the fulfilment bar, order fields, customer details, notes, and the items table.

Cross-docked — received and held for this order

When goods-in receives a purchase order raised for this sales order and the receiver chooses Hold for SO-…, the landed container is held for this order from that second. The detail page shows a green Cross-docked panel: quantity, product, bin and lot, and the PO it came off. No other order can pick or pack those containers; this order's packing can. The hold is released when the order completes or is cancelled. See Purchase Orders → Receiving for an order.

Customer-supplied material — free-issue booked on the order

When the customer sends their own material in for this job, the detail page's Customer-supplied material panel books it in: Receive material, choose the product, the quantity and their lot reference, Book in. The lot is created as customer-owned at zero value and tied to this order. The panel reconciles Received · Used · Returned · On hand per product and lot, with a return link on each lot for anything unused. Their material can only be picked or packed for their orders — another customer's work order is refused by name — is excluded from every other customer's available-to-promise, and costs their job nothing. The panel goes read-only once the order is completed or cancelled. See Consignment and free-issue.

The promise stays visible after the order is raised

The Can promise line on the detail page is recomputed every time you open it — stock moves, purchase orders slip and the schedule fills, so an order that could be met last week may not be met today. It turns red the moment the requested date stops holding, which is your cue to talk to the customer before the despatch date arrives rather than after. It disappears once the order is completed or cancelled.

Section 08

Detail page actions

The footer of the Sales Order detail page contains all available actions. These appear on all four tabs — General, Works Order, Delivery Order and Invoices.

Share TrackerGenerates a no-login customer tracking URL. Copy and send to the customer to let them follow live production progress (see Section 09).

CancelCancels the sales order — status changes to Cancelled. Linked works orders and delivery orders are not automatically cancelled and must be managed separately.
Report IssueOpens a modal to log a problem: rich-text description, image upload (JPEG/PNG/WEBP, max 10 MB), file upload (PDF/DOC/XLSX/ZIP, max 50 MB), and a suggested action field.
Mark As CompletedCloses the order as fully fulfilled — status changes to Completed. Use only when all delivery orders have been despatched and invoiced.
