Quick start guide — register, add products and invite your team

Get Brytebuild set up from scratch. Register your workspace, choose a subscription plan, add your first product and invite your team — all in under 30 minutes.

Section 01

Register your account

About 5 minutes

Registration is a 3-step wizard: Company details → Subscription → Order summary. You don't need a credit card for the 14-day trial.

Step 1 — Create your workspace

Go to app.brytebuild.co.uk/register and fill in the first screen.

Enter your company details

You'll see a split screen — the right side is the form. Fill in the three fields:

That's all Brytebuild needs to create your workspace. Your address, VAT number and company logo can be added any time in Settings → Company.

Click Continue → to move to the subscription step.

Step 2 — Choose your subscription plan

Brytebuild offers four plans, billed per user per month (excl. VAT). You can switch plans at any time. All plans include a 14-day free trial — your card is not charged until the trial ends.

Monthly vs Annual

Use the Monthly / Annual toggle on the subscription screen. Annual billing saves you 2 months' cost per year. You can switch between monthly and annual at the end of any billing cycle.

Select your plan and set seat counts

Click Choose [Plan name] on the plan card. Then in the Order Summary panel on the right, set the number of seats:

  • Full Seats — Users who create, edit and manage data (most of your team)
  • Shop-Floor Seats — Execute-only users who follow instructions and log job progress (lower cost)

The total updates in real time. Click Continue → to proceed to the order summary.

Optional: Add the Warehouse Management add-on

If your team manages physical stock (goods-in, picking, packing, barcode scanning), scroll down to the Warehouse Management (WMS) add-on card and click Add to plan. This adds +£19/user/month and unlocks the full Warehouse module.

Not sure yet?

You can add the WMS module any time from Settings → Subscription. It's not required to complete setup now.

Add your products

About 10 minutes

Choose your item type — Item or Assembly?

Item

A standalone purchasable or manufactured part. Has its own stock level, pricing and barcode. Use for raw materials, bought-in components and simple single-part products.

Register Item →

Assembly

A finished product built from multiple Items. Has a Bill of Materials and production route. Use for anything you manufacture from component parts.

Register Assembly →
Recommended order

Register your Items (components and raw materials) first, then register your Assemblies. This way all component parts are available to select when you build the Bill of Materials.

Step 1 of 3 — Item Details

Fill in the four sections on this screen:

Classification — Set Traceability (None, Lot, or Serial), Status (Active/Inactive) and Unit of Measure (Each, kg, metre, etc.).

Suppliers — Select from the table of existing suppliers to link them and set per-supplier pricing. Click Add Supplier at the bottom to create a new supplier on the fly.

When all required fields are filled, click Next →.

Step 2 of 3 — Drawings

Upload technical drawings. Drag and drop image files into the upload zone, or click to browse.

  • Accepted formats: JPEG, JPG, PNG, WEBP
  • Maximum file size: 10 MB per file
  • Mark one drawing as Primary — it becomes the cover image shown across the platform
Drawings vs Assets

Drawings are image files of the physical part. Assets (Step 3) are everything else — PDFs, data sheets, Word files, videos. Don't mix them up or the files will end up in the wrong place.

Step 3 of 3 — Assets

Upload supporting documents for this item — data sheets, certifications, test reports, etc.

  • Accepted formats: PDF, DOCX, XLSX, PPTX, CSV, ZIP, RAR, MP4, MP3 and more
  • Maximum file size: 50 MB per file
  • Images (.jpeg, .png, .jpg, .svg, .webp) belong in the Drawings step — upload them there

Click Next → to save the item and return to Inventory.

Step 1 of 4 — General

Fill in Assembly Identity, Barcodes & SKU, Pricing & Stock and Classification — identical to Item Step 1 above. Assemblies also have a Suppliers section. Click Next →.

Step 2 of 4 — Bill of Materials (BOM)

The BOM defines exactly which components go into this assembly and in what quantities. Brytebuild uses it to calculate material requirements when you create production jobs.

The screen has two tables:

  • Item Catalogue (top table) — Browse all your items. Use Search to filter. Set the Quantity for each part, then tick the Chose Items checkbox to add it.
  • Selected BOM Items (bottom table) — Components you've selected appear here. Review quantities. Use Remove to take a component out.
Quantity accuracy matters

Every BOM quantity error causes Brytebuild to miscalculate material requirements for every production job that uses this assembly. Double-check quantities before clicking Next Step.

When the BOM is complete, click Next Step →.

Steps 3 & 4 — Drawings and Assets

Same as Item Steps 2 and 3 above. On Step 4, the button changes to Create Assembly. Click it to save.

Section 02 complete

Your products and assemblies are registered. Repeat for all the items you manufacture. Once your catalogue is in place, Brytebuild automatically calculates what materials are needed when you create production jobs.

Section 03 — Alternative to manual entry

Bulk import products, customers & suppliers

About 5 minutes

If you already have product lists, customer records or supplier contacts in a spreadsheet, the Data Import tool lets you bulk-load or update hundreds of records at once from Excel — much faster than entering them manually.

When to use this

Use Data Import when you're migrating from a spreadsheet or another system and have more than 10–20 records. For smaller catalogues, the manual wizard in Section 02 is often faster. You can also use it later to bulk update existing records — the export includes IDs so edits are tracked correctly.

If any single row in your Excel file fails validation, the entire import is rejected and nothing is saved. Errors are reported by row so you know exactly what to fix. Always download the export template first — it contains the correct column headers, IDs and field formats.

How to run an import

1 — Export the current records first

Click Export to Excel on the importer you want to use. This downloads a template file with the correct column headers — and any existing data already formatted correctly.

Open the file in Excel. Existing records have their internal IDs pre-filled in the first column. Do not change these IDs or Brytebuild will treat the row as a new record instead of an update.

2 — Edit or populate the file in Excel

  • To create a new record: add a row, leave the ID column blank, fill in at least the Name
  • To update an existing record: keep its ID, change any other fields
  • To skip a record: leave its row unchanged — it re-imports as-is
Data format matters

Drop-down fields (like Status or Unit) must match the exact allowed values shown in the export — e.g. Active not active or ACTIVE. Numeric fields must not contain currency symbols or commas.

3 — Import the file back

Click Import from Excel and select your edited file. Brytebuild validates every row before saving anything.

  • If all rows pass — all records are created or updated, and a success message confirms how many rows were processed
  • If any row fails — the entire import is rejected with a list of errors by row number so you can fix and re-upload
Section 03 complete

Your catalogue, customers and suppliers are loaded. You can run imports as many times as you like — they're the fastest way to keep Brytebuild in sync with external spreadsheets or ERP exports.

Section 04

Invite your team

About 10 minutes

Brytebuild has a two-layer permission system: Roles (broad job type) and Groups (fine-grained module permissions). You assign each user a role when you invite them, then add them to Groups to control exactly what they can see and do.

Create permission groups

Create the group and add members

In the modal, enter a Group name (e.g. "Quality Team", "Warehouse Operators") and optional description. Click Create Group. Then open the group and use the Staff List tab to add members.

Set module permissions

Inside each Group, click the Permissions tab. Each module has five columns:

Click Save Permissions at the bottom right. Changes take effect immediately.

Section 05

Schedule your first work order

About 5 minutes

A Work Order is the core operational record in Brytebuild — it represents a specific piece of work assigned to a team or person, with a start date, end date and a list of items. Everything on the shop floor is driven by work orders.

Create a work order — step by step

1 — Assign to: Group or User

Choose who this work order belongs to. Group = all members of the group can see and action it. User = owned by one specific person.

For most production jobs

Assign to a Group. The work order stays visible to the whole team even if one person is absent or leaves.

2 — General information

3 — Order or Non Order

  • Order — Links to an existing sales order. The Item List can be filtered to show only items on that sales order.
  • Non Order — A standalone work order with no sales order link. You can optionally select a customer. Use this for internal production runs, stock builds and training.
For your first work order

Choose Non Order. It's simpler — you don't need a sales order set up yet. You can link work orders to sales orders once your sales pipeline is running.

4 — Timeline

Set the Start Date and End Date (and optionally Start Time / End Time). This is what places the work order on the calendar. Use dd/mm/yyyy format.

5 — Warehouse & Stock

Select which Warehouse this work order draws from. Toggle Reserve stock on to set aside the quantities this job needs at creation — preventing other orders from claiming the same stock.

Reserve vs. Deduct

Reserve stock = "this stock is spoken for — don't give it to another order." Stock is only deducted from inventory when the work order status changes to Completed.

6 — Item List

Select the items the team will be working on. The table shows your inventory with live stock levels.

  • All Items — Shows your entire inventory with Item and Assembly types
  • Sales Items — Only items on the linked sales order (if you chose Order above)

For each item: check the Total Stock and Minimum Stock Level columns (red numbers = below minimum), set the Quantity, toggle Pick BOM on for Assemblies (pulls component parts from the BOM), then tick the Select checkbox. Selected items appear in the bottom table.

7 — Picking & Save

Toggle Automatically create picking list on if your team uses Brytebuild's warehouse picking workflow — a picking list is generated and linked to this work order immediately on save.

Click Save Work Order → in the bottom right. The work order is created and appears on the Works Order calendar.

You're set up!

Your workspace is registered, your products and assemblies are in the system, your team has the right access, and your first work order is on the schedule. You're ready to run production.
