Ask most MRP vendors what their software costs and you will get a form to fill in. That alone tells you something. Pricing that needs a sales call is usually pricing that changes depending on who is asking.
This is what MRP software actually costs a UK manufacturer in 2026, including the parts that are easy to miss until the quote lands.
The headline price is rarely the price
Almost every MRP vendor advertises a per user figure. The number you eventually pay depends on three things that sit behind it.
- Modules. Traceability, warehouse management and quality are frequently sold separately. A base plan that looks cheap can double once you add the two things you actually needed.
- Seats. Some vendors charge the same rate for a director who lives in the system and an operator who scans a barcode twice a shift.
- Currency. A dollar price is a moving target. It also usually means the support desk is asleep when your line stops.

The number nobody puts on the pricing page
Work out your cost per person on the floor, not your cost per licence. That is where the real difference shows up.
Take a five person workshop. Two people in the office live in the system. Three are on the floor and need to see a job, follow the steps and scan what they used. On a vendor that charges every user at full rate, you pay five full seats. On one with a cheaper execute-only seat, you pay two full seats and three reduced ones.
The question is not what a seat costs. It is how many full seats you are forced to buy for people who only ever press start and finish.
Questions worth asking any vendor
- Is lot and batch traceability included, or is it a module?
- What does a shop floor user cost compared with an office user?
- Is warehouse management part of the price or an add-on?
- Am I billed in pounds, and who holds my data?
- What happens to the price when I add my sixth user?
- Can I leave, and what do I take with me?

The honest summary
For a sole trader, the cheapest credible option is rarely us, because we have a two user minimum. For a workshop with people on the floor, the maths usually turns the other way once modules and seats are counted properly.
Either way, do the sum on your own headcount before you sign anything. A fourteen day trial with no card is a cheaper way to find out than a twelve month contract.
